Bulk email selected people

You'll learn how to: Send the same email (with optional personalisation) to multiple contacts at once. Each contact gets their own copy, not a CC list.

Time: 5 minutes for a thoughtful bulk message.

Prereqs: Email account connected. You've selected the contacts you want to email.

When to use

  • A one-off update to 5-30 specific people ("We just shipped X, thought you'd want to know").
  • A holiday or end-of-year touch to a curated rhythm.
  • Following up with a specific cohort from an event.

For ongoing sequenced outreach (multi-step cadence), use a Campaign instead. Bulk Email is for one-shot sends.

Steps

  1. Open People section, People tab, and (optional) apply filters to find the right cohort.
  2. Tick the checkboxes for every person to email.
  3. The bulk-action toolbar slides up from the bottom.

  1. Click More (three horizontal dots).
  2. Click Email (the Send icon).
  3. The Email Composer opens with all selected addresses pre-loaded.
  1. Write your message:
    • Subject: required. Same subject for everyone, with optional merge fields.
    • Body: same for everyone, with optional merge fields ({{first_name}}, {{company}}, etc.).
    • From: pick which connected account sends.
  2. (Optional) Pick a send strategy:
    • Send all now: everyone gets it within seconds.
    • Trickle: spread sends over hours so it doesn't look like a blast.
    • Schedule: send later.
  3. Click Send.

Personalisation via merge fields

Merge fields make each recipient's copy feel personal. Common fields:

  • {{first_name}}
  • {{last_name}}
  • {{company}}
  • {{title}}
  • Any custom field by name.

If a merge field can't resolve (e.g. the contact has no company), Nynch warns you before send and asks how to handle it (skip those recipients, leave blank, use a fallback value).

What happens after send

  • Each recipient gets a separate email through your connected provider (Gmail / Outlook).
  • The email lands on each person's individual timeline.
  • Each person's last-touched date updates.
  • The Messages tab (People > Messages) shows the pending and sent batch with delivery / open / reply tracking.

Hard limits

  • Bulk Email is capped at a sensible per-batch maximum (typically 50-200 depending on plan). For larger sends, run a campaign instead.
  • Email providers (Gmail / Outlook) have daily send limits. Nynch respects these to avoid getting your account flagged.

If something goes wrong

  • Symptom: "Email is greyed out in the More menu." → Fix: Some of your selected people have no email address. Either filter to "has email" before bulk-selecting, or accept that those people will be skipped.
  • Symptom: "Composer says 'too many recipients'." → Fix: You're above the per-batch cap. Run two smaller batches or switch to a Campaign for sequenced cadence.
  • Symptom: "A merge field shows up as {{first_name}} in the preview." → Fix: That contact's first_name field is empty. The composer's preview shows what each recipient would see; fix the field or use a fallback value.
  • Symptom: "Some sends bounced." → Fix: Check the Email queue tab for the bounce reasons. Common: invalid email, full inbox, recipient blocked your address. Bounced recipients need to be cleaned out before re-sending.
  • Symptom: "I want to undo a bulk send." → Fix: Email isn't recallable from Nynch (or anywhere). Reach out individually to anyone who got an unintended send.
